Further information and guidance for Library Representatives.

Ongoing tasks

Ongoing tasks which may occur at any time include:

  • ordering books for your colleagues or passing on requests for new titles to your liaison librarian;
  • monitoring budget reports;
  • looking at potential withdrawals and asking colleagues about these if necessary;
  • forwarding messages from your liaison librarian to departmental emails lists (if they don't have access themselves);
  • attending any relevant committees where Library resources are discussed and feeding back to your liaison librarian.

A typical year

These are the typical tasks performed by a Library representative during the Academic Year.

August
  • Remind colleagues to organise Library training with your Academic Liaison Librarian for the coming term
September  
October
  • Invite your Academic Liaison Librarian to the Autumn Term staff-student committee meeting
November
  • Circulate your librarian's request (if they don't have access to the department mailing list themselves) that new reading lists for the Spring Term should be added by module convenors to the Reading Lists system by the end of the month and remind colleagues that revisions to Spring Term lists should also be published by this deadline to ensure orders for new/additional resources can be processed and made available for the start of term
December
  • Remind colleagues to organise Library training with your Academic Liaison Librarian for the coming term
January
  • Invite your Academic Liaison Librarian to the Spring Term staff-student committee meeting
February  
March
  • Circulate your librarian's request (if they don't have access to the department mailing list themselves) that new reading lists for the Summer Term should be added by module convenors to the Reading Lists system by Week 8 of the Spring Term and remind colleagues that revisions to Spring Term lists should also be published by this deadline to ensure orders for new/additional resources can be processed and made available for the start of term
  • Remind colleagues to organise Library training with your librarian for the coming term
April
  • Library materials budgets are decided
  • Check your current budget and order extra material if it is in surplus - aim to place orders by the end of April
May
  • Invite your Academic Liaison Librarian to the Summer Term staff-student committee meeting  
July
  • Circulate your librarian's request (if they don't have access to the department mailing list themselves) that new reading lists for the Autumn Term/full session should be added by module convenors to the Reading Lists system by mid August at the very latest, and remind colleagues that revisions to Autumn Term/full session lists should also be published by this deadline to ensure orders for new/additional resources can be processed and made available for the start of term
  • Remind colleagues to pass to you orders for books for the coming session to ensure they can be placed and new stock processed in time for the start of term
  • Meet with your Academic Liaison Librarian for an annual catch-up
